Confirming orders and checking bank transfer slips
Orders sit in four tabs: New, Confirmed, Packed and Delivered. Confirm takes the stock and lets you tell the buyer on WhatsApp in one tap. A bank slip a buyer uploads is accepted with its amount or rejected with a reason they see. Orders a supplier sends are marked Supplier ships.
What does this tour show?
It shows the middle of a selling day for Hiruni, a sample seller of perfume who takes orders through her shop link. By two in the afternoon three new orders are waiting, and one buyer has messaged to say she has paid. Hiruni needs to confirm what she can send, check the payment that was claimed, and keep track of an order that a supplier is sending for her.
The tour has three steps on the Orders screen of her phone: the four tabs, the bank slip check, and an order marked Supplier ships.
Why separate confirming from packing?
Because they answer different questions. Confirming says "yes, I have this and I will send it". Packing says "it is wrapped and ready to go". When the two are mixed, a seller ends up packing for orders she has not checked, or confirming orders she has already sold out of. Keeping them as separate steps, each with its own tab, makes it obvious which orders are promised and which are physically ready.
Confirming is also the point at which stock is taken. Until then, the bottles are still available to other buyers on the link.
Step by step
-
Open Orders. At 14:00 Hiruni opens Orders. Across the top are four tabs: New 3, Confirmed 1, Packed and Delivered 12. Packed shows no number because nothing is packed yet. The New tab is open.
-
Read the first new order. Dinithi has ordered one Amber Night 5ml. A blue label says Cash on delivery. The total, Rs 1,700, is the Rs 1,350 bottle plus Rs 350 delivery. A Confirm button sits on the right.
-
Confirm it. Hiruni has 5ml bottles in stock, so she taps Confirm. The order moves to the Confirmed tab and one Amber Night 5ml is taken from her stock. With one more tap she can tell Dinithi on WhatsApp that the order is confirmed.
-
Open the order with a slip. At 14:10 she looks at Ishara's order: two Rose Musk 10ml. An amber label says Slip to check. Inside the card is a thumbnail of the slip, the line "Bank transfer slip uploaded by the buyer", and the amount Rs 3,950, which is two bottles at Rs 1,800 plus Rs 350 delivery.
-
Check the money arrived. She opens her bank app and looks for a Rs 3,950 credit with Ishara's name or reference. The slip photo is a claim; the bank account is the proof.
-
Accept or reject. The money is there, so she taps Accept and confirms the amount on the slip. Had it been short, or not arrived, she would tap Reject and type a reason, such as "Only Rs 3,600 received, delivery charge missing". Ishara would see that reason on her order.
-
Look at the supplier's order. The last card has a different background. Tharushi's order for one Sandal Bloom 30ml is labelled Supplier ships. Underneath it says the bottle is sent by Pure Bloom Fragrances, and that Hiruni can still message the buyer.
-
Message the buyer, not the parcel. Hiruni cannot move this order through Packed or Delivered, because she does not hold the bottle. What she can do is keep the buyer informed, for example to say the supplier's parcel comes separately from her own.
The orders on screen at two o'clock
| Buyer | Items | Payment | Total | Label | What Hiruni does |

| Ishara | 2 × Rose Musk 10ml | Bank transfer | Rs 3,950 | Slip to check | Check the bank, accept or reject |
| Tharushi | 1 × Sandal Bloom 30ml | Cash on delivery | Not shown on the card | Supplier ships | Message if needed |
Tips for confirming and checking slips
- Confirm in the order buyers ordered. People notice when a friend who ordered later gets a reply first.
- Always check slips against your bank, not against the photo alone. Deposits can take time to show, and a photo can be of any slip.
- Write rejection reasons that tell the buyer what to do next. "Amount short by Rs 350, please send the delivery charge" gets fixed; "Wrong" does not.
- Use the one-tap WhatsApp message after confirming. It answers "did you get my order?" before the buyer has to ask.
- Look at the Delivered count now and then. Twelve delivered in the sample is a quick sense of how the week is going, without opening a report.
Common mistakes
Packing before the slip is checked. If the transfer never arrives, the parcel is already on its way. For bank transfer orders, accept the slip first, then pack.
Confirming what you have not got. Confirming takes stock. If the shelf is empty but the count says two, fix the count first, or you will confirm an order you cannot send.
Rejecting without a reason. A bare rejection leaves the buyer confused and starts a long chat. A clear reason usually ends with the right payment within the hour.
Promising delivery dates for supplier orders. The supplier sends Supplier ships orders on its own schedule. Tell the buyer it comes separately rather than naming a day you do not control.
What should you do next?
Pack the confirmed orders. Later in the afternoon, the stock tour in Hiruni's day shows how she keeps sizes and stock right, hides a size from the link and sees what is running out, so she never confirms something she cannot send.
The guide on getting paid faster has more on chasing payments politely, and the cash flow guide shows why money waiting on slips and cash-on-delivery parcels matters for a small business. For counts and stock levels, the stock control guide covers the basics.
How EasyTaskr helps
Orders in Share & Sell move through New, Confirmed, Packed and Delivered. Confirming takes the stock and the buyer can be told on WhatsApp in one tap. Bank slips are accepted with the amount or rejected with a reason the buyer sees, and resold orders are marked Supplier ships.
Questions people ask
What happens when I confirm an order?
The order moves from New to Confirmed and the stock for those sizes is taken, so the link stops offering bottles you no longer have. You can then tell the buyer on WhatsApp with one tap.
How do I check a bank transfer slip?
Open the order with the slip, look at the photo the buyer uploaded and compare it with your bank account. If the money is there, accept the slip with the amount shown. If it is not, reject it and give a reason.
Can the buyer see why a slip was rejected?
Yes. The reason you type is shown to the buyer, so they know whether to upload a clearer photo, pay the rest or contact their bank.
Why can I not move a Supplier ships order to Packed?
Because the supplier sends it, so the supplier moves it through its steps. You can still message the buyer about it from the order.
Should I confirm an order before the buyer pays?
For cash on delivery, yes: confirming takes the stock and starts the order, and the cash is collected at the door. For bank transfer, check the slip before you pack, so you do not post something that has not been paid for.
